Elements Approval Process Out of Scope Corrective Work

For all out of scope work, regardless of amount

1.      Create Corrective Work Request unless this meets the Emergency criteria, always start with

2.      Must create task with status Pending

3.      Enter required fields Costs must be estimated and entered prior to submitting the work request for approval.

Required fields:

·         Scheduled Start/End Date: Adjust to estimates and don’t leave default current date for both

·         Bill To Account: Default is Out of Scope

·         Problem

·         Labor Details

·         Material Details

·         Equipment Details

·         Contractor Details

 

 

4.      Set status to Ready for Approval


 

This assigns and notifies Admin team assigned to Division Currently Admin MO

5.      CSWR Admin, RM, Finance, Construction Review

FYI only

·         After initial Admin review, status goes to Admin Reviewed Pending Approval

·         Assigned to Regional Manager, Finance and, if over $10,000, Construction for Approval Return for revisions or cancel:

If revisions are needed or the work request cannot be approved, the status can be set to Return to Submitter or Cancelled.

Upon either status, an email is sent to request creator showing all comments. If status is Return to Submitter, make changes based on comments and set status to Ready for Approval to resubmit.

6.      Once approved, a new Task of Corrective or Safety will be created

7.      An email will be sent to work request creator stating a new task is created to complete the work

8.      Reference to original work request can be found on Documents section of new task, link to new task on the original
